Email Triage

AI-powered email classification with Telegram alerts — setup, tiers, notification modes, and bot commands.

Email Triage

Connect your Gmail and let AI classify your inbox. Noise gets silently archived, urgent emails trigger instant Telegram alerts, and everything else lands in a daily digest.

How it works

Every 15 minutes, the system:

  1. Fetches your unread inbox (headers first, cheaply)
  2. Pre-filters obvious noise (newsletters, marketing, receipts) using metadata alone
  3. Classifies tiers and categories with Fornace Jev. CC-only emails cannot become tier 1.
  4. Extracts and summarizes with Fornace Flash. Urgent emails include deadlines, action items and a draft reply.
  5. Notifies you based on your per-tier settings

Stored triage rows retain the member/message identity across retries. Email actions use your scoped ClickHouse rows, and status changes wait for database completion. Ambiguous subject matches ask for clarification.

Tiers

TierLabelExamplesDefault behaviour
0NoiseNewsletters, marketing, receipts, automated notificationsSilently archived, marked as read
1UrgentClient requests, deadlines, legal, action requiredInstant Telegram alert
2InfoStatus updates, FYI, non-urgent questionsDaily digest (8am + 5pm)

Connecting Gmail

Go to Account > Email in the web app, or open /account/email, and click Connect Gmail. You'll be asked to authorise read and modify access (needed for mark-as-read and replies).

Once connected, triage starts automatically on the next 15-minute cycle.

Notification modes

Each tier has an independent notification mode:

ModeBehaviour
InstantTelegram alert as soon as the email is classified (tier 1 default)
RecapBundled into a recap every N hours (configurable: 2/4/6/8h)
DailyIncluded in the morning (8am) or evening (5pm) digest
OffClassified and stored, but no notification sent

Change modes in Account > Email or via the bot:

You: email settings

Bot: Email: you@company.com Tier 1 (urgent): instant push Tier 2 (info): daily digest

You: set urgent emails to recap and recap interval to 2 hours

Bot: Settings updated.

Mark-as-read

Each tier has a separate read behaviour in Gmail:

SettingBehaviour
AutoMarked as read when you're notified (tier 0 and tier 2 default)
AskA "Mark read" button appears in the Telegram notification
NeverLeft unread — you handle it in Gmail (tier 1 default)

What you get

Urgent emails trigger an instant Telegram alert with: a summary, extracted deadlines and actions, an AI-drafted reply, and buttons to archive, reply (text or voice), send the draft, create a task, or snooze.

Create task: Jev selects a matching active allocation and priority. Flash extracts the task name and deadline. When no allocation matches, choose the project in the web app.

Info emails are bundled into a digest (morning + evening by default).

Replies: tap Reply and type or send a voice note — AI polishes it and sends as an email in the original thread.

Manage settings via the bot ("email settings") or Account → Email. Triage only runs during your work schedule by default.

Mailbox actions and triage rows stay scoped to your account. An explicit forward shares a summary with the selected teammate; it grants no access to your mailbox or its action buttons.
