Requesting Time Off
How to request vacation, sick leave, and permits — including the approval flow and how leave affects your agenda.
Requesting Time Off
PayMe handles leave requests inline — you can submit and track them from the web app or the Telegram bot.
Leave types
| Type | When to use |
|---|---|
| Vacation | Planned time off — holidays, personal days |
| Sick leave | Illness; may require a medical certificate for multi-day absences |
| Permit | Partial-day or short absences — see subtypes below |
Permit subtypes: Generico, Visita medica, Legge 104, Lutto, Donazione sangue. Some require documentation. When creating a permit, choose a morning/afternoon preset or set custom times.
Creating a request
From the web: go to Account → Time Off and create a new request. Fill in the type and date range (or partial day times for permits).
Via your PM: PMs and admins can register leave on your behalf directly from the Telegram bot. The leave is recorded immediately — no approval step needed when a PM creates it.
Approval flow
Leave requests submitted from the web start as pending. Who approves depends on the org setting (admin only, admin+PM, or no approval needed — see Settings). Some leave types (e.g. sick leave) can be auto-approved. You'll get a Telegram notification when the decision is made.
Leave added by a PM or admin via the bot is auto-approved at creation.
Leave impact preview
After submitting, PayMe replays the planner with reduced capacity for the leave days and shows you exactly what changes:
- Hard deadline impacts — always visible, red badges. Tasks whose firm deadlines can no longer be met show as "at risk" with the shortfall in hours.
- Soft deadline impacts — collapsed by default in an accordion. Tasks whose target dates shift show "+Xd" badges. Expand to see the details.
- Total capacity lost and projects affected.
This helps you (and the PM) understand the downstream effect. The preview uses the same planner engine as the real agenda — no approximations.
How leave affects your agenda
Once a leave is approved:
- The affected days are marked as non-working capacity (0 available hours)
- Tasks scheduled for those days are pushed forward to the next available working day
- If any pushed task has a hard deadline that can no longer be met, an alert goes to the PM
- Historical agenda for past leave days shows them as blocked — they're not hidden
When leave is cancelled or rejected, the planner re-evaluates and pulls tasks back from their displaced positions.
Partial-day permits
Permits can have a start and end time. For example, a doctor's appointment from 10:00–12:00 reduces your capacity for that day by 2 hours. The planner fills the remaining hours normally.
Specify times via the form's time pickers, or tell the bot "permesso domani dalle 10 alle 12".
