Load Map & Allocation Tools
Grid view of team capacity, revenue-weighted workload, drag-and-drop task shifting, and the Live Allocation Room.
Load Map & Allocation Tools
The load map gives PMs a bird's-eye view of team capacity and the tools to rebalance work in real time.
Load map (grid view)
The load map (/team/load-map) shows a matrix of members × days for the selected period (default: current week). Each cell shows the member's load percentage for that day.
| Cell color | Load % | Meaning |
|---|---|---|
| Empty / light gray | 0% | No planned work |
| Green | 1–79% | Has capacity |
| Yellow | 80–100% | Fully booked |
| Red | > 100% | Overloaded — work will spill |
Click any cell to see the breakdown: which tasks are planned, how many hours each, and whether they're rocks (pinned) or water (planner-placed).
Reading the map
- Horizontal patterns — a row of red cells means a member is overloaded all week. Consider redistributing.
- Vertical patterns — a column of red means the whole team is slammed on that day (common around deadlines).
- Empty rows — a member with no planned work may be unallocated or between projects.
Revenue-weighted view
Toggle Revenue weighting to shift the load map from hours to revenue impact. Each cell's intensity reflects not just how busy a member is, but how much revenue their planned work represents.
This view helps answer: "If I have to cut scope somewhere, which day/member has the least revenue impact?"
Revenue weighting uses the project's quoted hourly rate (from FiC) multiplied by planned hours. Internal projects (no quote) show as neutral gray.
Task shifting (drag & drop)
From the load map, drag a task from one cell to another to reschedule it:
- Same member, different day — moves the task to the target day. The planner reflows both days.
- Different member, same or different day — reassigns the task. The allocation must exist on the target member, or PayMe offers to create one.
Dragging a rock (pinned task) moves its scheduled date and time. Dragging a water (planner-placed) task moves its preferred day — the planner may adjust it further based on capacity.
Shift constraints
- You can't shift a task to a day where the member is on leave
- You can't shift a task to a member without access to that project (no allocation)
- Shifting a task with a hard deadline past that deadline shows a warning
Live Allocation Room
The Live Allocation Room (/team/allocation-room) is a real-time collaborative view for planning sessions. Multiple PMs can open it simultaneously and see each other's changes as they happen.
How it works
- Open the Allocation Room from the team page
- Select the planning horizon (e.g., next 2 weeks)
- See all members' capacity and current allocations side by side
- Create, resize, or move allocations by dragging on the timeline
- Changes are saved and broadcast to other open sessions in real time
Use cases
- Sprint planning — distribute next sprint's work across the team
- New project kickoff — carve out allocation blocks for a new project without overloading anyone
- Rebalancing after scope change — when a project grows or shrinks, adjust allocations visually
Changes in the Allocation Room affect real allocations immediately. There is no "draft" mode — what you see is what the planner uses.
