How PayMe detects overloaded members and the tools available to redistribute work.

What triggers an overload

A member is overloaded when their planned hours exceed capacity for the current week:

  • plannedHours > weekCapacity → load % > 100%
  • Overdue tasks also count — they consume future capacity as the system tries to fit them into recovery windows.

Detection

The intelligence layer scans for overloads as part of the daily agenda refresh. When a member is over 100% for the current week, their card on the Team page shows a red badge and the advisor UI shows an overload banner.

The resolve_overload Telegram tool surfaces all overloaded members with redistribution suggestions.

Resolution options

1. Reassign tasks

Move a task from an overloaded member to someone with headroom. Use who_can_help in Telegram to find candidates ranked by bandwidth and skill match.

2. Extend or remove deadlines

If a task's due date is soft (PM-set target, not a contractual deadline), extend it. The planner will push the task to a future day with capacity.

3. Adjust estimates

If a task is stuck but partially done, update estimatedHours to reflect remaining work. This may bring the member back under capacity.

4. Reduce scope

Remove or shrink tasks. If a task is lower priority, set priority: 4 (low) — the planner will defer it in favour of higher-priority work.

5. Approve leave impact offset

If an approved leave is causing the overload, use the leave impact preview to see which tasks shift and by how many days.

     Overloaded by 16h. 3 tasks could be reassigned:

     • "API integration" (8h) — Anna has 12h free this week, same project
     • "QA review" (4h) — Luca has capacity and has worked on Luna before
     • "Documentation" (4h) — can shift to next week (soft deadline)
